COLLECTION AND DISCLOSURE OF PERSONAL INFORMATION

PF Olsen (Australia) Pty Ltd (PF Olsen, we, us, our) complies with the Privacy Act 1988. This Privacy Policy sets out how we will collect, use, disclose and protect your personal information.

HOW WE COLLECT AND USE YOUR PERSONAL INFORMATION

We will only collect your personal information where it is reasonably necessary to do so for the conduct of our business. In the course of our business, we often hold information about a range of people including, but not limited to clients, potential clients, suppliers, contractors, business associates such as those in forest management, logistics, harvesting, haulage, investment, safety and other persons who may come into contact with us.

We primarily collect personal information from you directly. In the course of our business, it may be necessary to collect personal information about an individual from a third party or it may be provided to us by a third party. Any collection of personal information by us will be fair and lawful and will not be intrusive.

The personal information we hold about you will depend upon your interaction with us. The personal information we may collect about you may include:

  • Contact details such as your name, telephone number(s), date of birth, postal, residential and email addresses
  • Any employment information such as your employment history and qualifications
  • Any billing and credit information, as well as general financial position, that is needed from time to time; and
  • Government issued identifiers, such as Tax File Numbers and Australian Business Numbers (which are only used in accordance with the Privacy Act).

We may use your personal information for the following reasons:

  • to enable us to provide services and products to you
  • to communicate information about our services and products, and those services and products to our parent company in New Zealand, PF Olsen Group Limited
  • to communicate information about our services and products, and those services and products to any unrelated authorities that we have affiliations with, that may be of interest to you; and
  • facilitating our internal business operations (including modelling data, maintaining our relationship with you, data testing and security).


DISCLOSURE

As part of the provision of services, we may outsource some of our functions to third parties which may involve the disclosure of personal information. These third parties will not be permitted to use the information for purposes other than for those which the information was disclosed.

Similarly, we may disclose your personal information to other companies in our group including our companies in New Zealand, if it is related to the purpose for which it was collected. For example, if you send us an application for employment across our group, we may send it to PF Olsen Group Limited in New Zealand to consider.

If we disclose your personal information to an organisation in a country other than Australia or New Zealand, we will take all reasonable steps to oversee that protection of your personal information is not diminished. Apart from this, your personal information will not be shared, sold, rented or otherwise disclosed except if required by law or with your consent.

At any time you may opt-out of receiving any communications from us (other than as required for the operation of our business; for example, regarding payment of accounts).

SENSITIVE INFORMATION

We will not collect, use or disclose sensitive information (such as information about racial or ethnic origins or political or religious beliefs) except with your specific consent and if the information is reasonably necessary or directly related to the provision of our services, or in the circumstances permitted in the Privacy Act.

SECURITY

The security of your personal information is important to us. To safeguard personal information, we will take all reasonable steps to maintain the security of any personal information we receive. We will take reasonable steps to:

  • protect the personal information we hold from misuse and loss and from unauthorised access, modification or disclosure; and
  • destroy or permanently de-identify personal information if it is no longer needed for any purpose for which the information may be used or disclosed under this policy (unless we are required by law to keep it).

We may store or process your personal information in any format we choose at our offices or at premises outside our offices, including data storage facilities or cloud storage located within or outside New Zealand, which may be operated by a third-party service provider.

If your personal information is transferred outside New Zealand, it will be to a country that has been determined by the European Commission to have an adequate level of protection or, alternatively, we will ensure that the intended recipient has provided appropriate safeguards and that requisite rights and remedies are available. Otherwise, we will obtain your explicit consent for the transfer.

ACCESS, ACCURACY, AND CORRECTIONS

You have a right to request a copy of the personal information we hold about you at any time. If your personal information changes, if you have a concern about how we are handling your personal information or if you no longer require our services, we will endeavour to provide a way to correct, update or remove the personal data you have provided to us. You may also request us to amend your personal information where you believe it is out- dated.

You may also have rights under the EU General Data Protection Regulation to erasure of personal information or restriction of processing of personal information or to object to processing, as well as the right to data portability and the right to lodge a complaint with a supervisory authority.

COOKIES AND INTERNET USE

A Cookie is a piece of information that our web server may send to your machine when you visit our web site(s). The Cookie is stored on your machine but does not identify you or give us any information about your computer. A Cookie helps us to recognise you when you re-visit our website(s) and to co-ordinate your access to different pages on our website(s). With most Internet Browsers, you can erase Cookies from your computer hard drive, block all Cookies, or receive a warning before a Cookie is stored.

CHANGES TO OUR PRIVACY POLICY

We may change this Privacy Policy by uploading a revised policy onto our website. The change will apply from the date that we upload the revised Privacy Policy.
